Position Summary:
We have an exciting opportunity to join our team as a Project Coordinator.

The Department of Population Health at the NYU Grossman School of Medicine seeks a Project Coordinator with experience in complex project management to work across a multidisciplinary team to track, initiate, manage, and complete major projects associated with the City Health Dashboard and Congressional District Health Dashboard. Under the supervision of the Assistant Director, this position will also be required to liaise with external parties to communicate budget and project priorities. The Dashboards are interactive data and mapping websites developed by NYU Langone Health to help US policymakers, community-based organizations, journalists, and others leverage the power of data to improve health and well-being.

The team that updates and maintains the City Health Dashboard and Congressional District Health Dashboard consists of data, communications, partnership, and policy specialists. This role works with all members of that team, including external web developer consultants, to track and coordinate deliverables across weeks and months of the project. The most complex deliverables include data releases and website feature updates. On both websites, the team releases new years of data or new features more than three times per year. This role is responsible for supporting the intricate planning of these releases and monitoring the progress of all 20+ stakeholders. Planning for these releases involves brainstorming with team leadership, crafting project charters and presentations, creating work plans in MS tools, monitoring feedback in JIRA, and communicating progress in team meetings.

Job Responsibilities:

  • Project Coordination Coordinating moderately complex projects that include, but are not limited to, collaborating/communicating with the team and external parties on a daily and/or weekly basis to organize and coordinate components needed to initiate, conduct, and conclude project activities, and contributing to the development of project schedules and track project-related activities.

    • Utilizing, innovating, and augmenting a complex set of interdependent Microsoft tools to track, visualize, and manage timelines and deliverables, assist with progress reporting, and support the completion of grant deliverables. This work will require understanding project dependencies and team member capacity and priorities in order to co-develop workflows and tools that facilitate efficiency and collaboration.

    • Working with internal and external parties to organize multiple projects and project components. This includes facilitating this process by communicating with all parts of the team and using team roadmaps and senior team priorities as a guideThis work will require using project roadmaps (developed by the Assistant Director) to design monthly data release schedules and weekly project timelines, which are communicated to leadership and external web developers through written charters and presentations. As project priorities change or external parties present complexities, this role will work with their manager to develop solutions that consider the strengths, budgets, and capacity constraints of all stakeholders.

    • Presenting project and release timelines to all team members and leadership and closely monitoring project progress to flag any potential delays or changes.

    • Monitoring project budgets and expected estimates to flag overspending or the need for resource reallocation within our web developer contract and budget.

    • Collaborating with team members responsible for public health communication, data analysis, and website development and translating project priorities and decisions from team leadershipThis work requires communicating with and presenting to an interdisciplinary team that may require utilizing different lexicons to achieve understanding.

  • Reporting  With support from their supervisor, preparing progress updates for ongoing and pending projects which may include interpretation of project status, needs, and vulnerabilities.

    • Outlining agendas, planning and preparing presentations, and developing materials required to inform project leadership and partners about the team’s progress.

    • Project Support: Assisting in the training of operations staff and others in project management tools and operational workflows. Identifying inefficient workflows and collaborating across the team to develop new or updated workflows. This also requires developing workflow guides and presentations for the team to follow.

  • Scheduling and Coordinating– Organizing and coordinating schedules, activities, and special events. This work includes planning for team retreats and large project meetings, booking meeting rooms, reviewing calendars for common availability, and developing agendas and presentation materials.

  • Participating in special projects and performing other duties as required.

Minimum Qualifications:
To qualify you must have a Bachelor degree or equivalent in business administration, health care administration or related field or an equivalent combination of education and relevant experience. Proficiency in using various Microsoft Office applications such as Word, Excel, Access, PowerPoint and Outlook. Familiar with Internet applications.
Effective oral, written, communication, interpersonal skills. Ability to interface effectively with all levels of management and must work and communicate effectively with both internal and external customers. Ability to work within a team environment as well as independently. Time management skills and ability to work well under pressure. Ability to Project/Program manage and to multi task while paying attention to details.

Preferred Qualifications:
Project Coordination
2 – 3 years of professional project coordination/management experience for an interdisciplinary team working across management levels, especially if that team produced data or a website
Proficiency using project management software
Exceptional attention to detail, with experience in grant coordination or management
Experience keeping complex projects on track, especially using web-based task management tools
Experience monitoring project budgets and contracts and supervised solutioning for unexpected spending rates
Collaboration
Strong time-management skills with proficiency in managing multiple projects of levels of priority and complexity simultaneously
Outstanding verbal and written communication skills, including experience working with and developing meeting and presentation materials for internal and external stakeholders, including across levels of management
Familiarity working with external contractors on a website, including with a ticketing software
Other
Experience using Microsoft project management software (Microsoft Planner, SharePoint, and/or Power Automate)
A Masters degree or advanced coursework in a public health related field
The ideal candidate will be professional and dynamic, able to coordinate multiple tasks and work independently in a fast-paced environment, and have experience related to public health and/or municipal/local public administration.

NYU Langone Health provides a salary range to comply with the New York state Law on Salary Transparency in Job Advertisements. The salary range for the role is $66,300.00 – $71,777.82 Annually. Actual salaries depend on a variety of factors, including experience, specialty, education, and hospital need. Schedule Interviews

Receive Offer

If you successfully complete the interview process and are identified as a finalist for the position, we will require that you complete a professional reference process. After evaluating the completed references, a decision will be made on who will receive a preliminary offer. If you receive a preliminary offer, HR will start the onboarding process with an agreed-upon tentative start date.

Step 4

Training & Orientation

You will be contacted by an onboarding specialist who will work with you on your pre-boarding requirements. Once fully cleared, we will ask you to complete compliance orientation regulatory training. On your first day, you will attend an online required orientation to acclimate to the health system and report to your new department based on instructions provided by your hiring manager.
